Privacy Notice

1. Who we are

VauxCast is operated by Chestnut Media Ventures LLC ("we", "us"). We are the data controller for the personal data described in this notice — meaning we decide how and why your personal data is processed. Contact us at contact@vauxcast.com.

2. What we collect and why

  • Account data — name, email address, and login credentials, used to create and secure your account (legal basis: performance of our contract with you).
  • Team and meeting data — team membership, invitations, meeting content, chat messages, and recordings you create, used to provide the service (legal basis: contract).
  • Support messages — anything you send us through the contact form or by email, used to respond to you (legal basis: legitimate interests).
  • Usage and device data — IP address, device identifiers, browser type, and how you use the service, used for security, fraud prevention, and product improvement (legal basis: legitimate interests).

Payment details (card numbers and billing information) are collected and processed directly by Paddle, our Merchant of Record — we never see or store your full card details.

3. Who we share data with

  • Service providers — hosting, infrastructure, analytics, and support tooling providers that process data on our behalf under contract.
  • Paddle — our Merchant of Record, which receives the data needed to sell you our product, manage your subscription, process payments, handle tax compliance, and issue invoices.
  • Professional advisers — lawyers and accountants, where needed.
  • Authorities — where we are required to by law.

4. How long we keep data

We keep personal data for as long as your account is active and as needed to provide the service, meet legal obligations, and resolve disputes. Meeting recordings are kept for 72 hours and then deleted. When data is no longer needed, we delete or anonymize it.

5. Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal data; to restrict or object to processing; to data portability; and to withdraw consent where processing is based on consent. To exercise any of these rights, email contact@vauxcast.com. If you are in the EEA or UK, you also have the right to complain to your local data protection authority, and we will respond to your request within one month.

6. International transfers

Our service providers may process data outside your country, including in the United States. Where data leaves the EEA or UK, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

7. Security

We use appropriate technical and organizational measures to protect personal data, including encryption in transit and access controls that limit who can see your data.

8. Cookies

We use essential cookies and local storage to keep you signed in and remember your settings. We do not use advertising cookies. You can clear cookies and site data in your browser settings at any time, though signing in will no longer persist if you do.

9. Changes

We may update this notice from time to time. The "last updated" date at the top shows the current version, and continued use of VauxCast after a change means you accept the updated notice.
